2015 Fastpitch Senior Night - Volunteer Information

 

 

We are seeking a dynamic parent to volunteer to head up Senior Night for the OHS Fastpitch Team!  Here's the task list/schedule for that event, feel free to organize a group to accomplish this if you want, but ultimately we will only communicate with leader for this event (that's just to keep the communication simple and ensure we're not duplicating efforts)

 

  • Create/Coordinate posters for each of the 2015 Fastpitch Seniors.  It's up to you how you want to make this happen - I suggest you either create the posters for them (Create posters and print them out like has been done for a few years at $5/each senior max)  or you task the parents with creating exactly what you expect... (i.e. 20x24 poster that includes photos of the Senior playing fastpitch through the years... DUE 1-week prior to the last home game... etc *no reimbursement if the parents create their own poster) You will be provided with contact information for each senior's family:
     

  •  Place the order for (you can place the order as soon as you want!) and pick up flowers (blue and white) from Safeway (on the day of the last home game) - The bouquet can be $15.00/each senior

    • You will also purchase 1 flower for each of the seniors on the apposing team

    • Purchase a $10 max box of chocolates for each Senior

    • Get gift bag/tissue for the chocolates and gift (this has already been purchased and will be provided to the parent volunteer coordinating this effort

 

  • Get brief bio for each senior for the Announcers to read - this is to be written by the senior and should include information on what fastpitch means to them, their parents names etc - you'll want this 1-week prior to the last home game so you can edit and get to the announcers

    • You will need to get the names of each senior for the apposing team and compile that with the bios for the seniors so the announcers can recognize them over the PA system at Stevens

      • Looking at the other team's website is a great way to get this info, or contact their coach via email *info on their website
         

  • Decorations for the dug-out (balloons, streamers) these can be purchased for up to $10 (the dollar store is where I got this stuff last year)

    • Decorate the dug-out before the players get to the field on the day of the event
       

  • Notify John O'Leary so he can add it to his schedule to attend and take the photos of the families/Seniors on that day

 

Once you have all of the receipts, let the President know and we will write you a check for the amount spent, please ensure you're within the budget for each item listed above.

 

You'll need to appoint the OHS Varsity players that will give the Seniors their gifts.

Sample Agenda/Schedule for Senior Night: (feel free to use this!)

 

Before the players get there... or EARLY in the warm-ups

During Warm-Ups Before the Game Starts:

Ensure ALL family of Seniors knows they will be walking on the field with their Senior- have them ready IN THE DUGOUT (tell them what to expect)

Ensure the Team Announcers know their role and understand the timing needed to ensure each Senior gets their moment in the sun!!

Ensure the captains and pre-determined non-captains know their role

Ensure John O'Leary knows the schedule of events

 

After Warm-Ups/Before the Game Starts

Team Announcers: Announce Senior #1 - pause 15 seconds until that Senior comes out on the field -

Team Announcers: Announce Senior #1's Family

Team Announcers: Read Senior #1 Bio

Captain 1: Bring Senior #1's Gift to the Senior

Captain 1: walk off field

Senior #1: Take family pic by John O'Leary

Senior #1: Take family with coaches pic by John O'Leary

 

Senior #1 walk to side

 

Continue through each of the 2015 Seniors exactly as listed above

 

Team Announcer: Thank Seniors for a great 4-years

 

Team Announcer: Announce each of the other team's Seniors (First Name/Last Name/Position/Number)-

PRE-DETERMINED NON-CAPTAINS: walk flowers over to the other team's seniors and hand them their flowers and say Good Luck.

 

All Players go to sidelines

 

Team Announcers: Announce Line Up - Continue with business as usual

 

After the game: take down decorations/posters and keep the posters until the Banquet - we'll use them as a decorations there.
